Privacy Policy

This policy explains what TeamPulse collects, why, who can see it, and the choices you have. It follows the Digital Personal Data Protection Act, 2023 (the “DPDP Act”), and the Information Technology Act, 2000 and the rules made under it.
In short: each company's records stay inside that company's workspace. We do not sell personal data, and there are no advertising or analytics trackers in TeamPulse.
Who we are and our role
TeamPulse is run by Edgeaxis Technologies LLP, 901, Sunteck Grandeur, Swami Vivekananda Road, Navneeth Colony, Andheri (W), Mumbai 400053, Maharashtra, India (“we”, “us”). Our role depends on the information:
- Founders' accounts, billing, support and the contact form. We decide how this information is used, so we are its Data Fiduciary.
- The records a team creates in its workspace — check-ins, photos, locations, tasks, evidence, challenges. The company that owns the workspace decides what is collected and why, so it is the Data Fiduciary. We process these records on its behalf, only to provide TeamPulse.
If you are a team member, your company is the first place to ask about your records. You can also write to us, and we will help or pass your request to your company.
What we collect
Account details. Your name, email address, mobile number, role and department, and the daily target hours your founder sets. Everyone gives their name and mobile number when they first sign in (founders at sign-up); founders also give their company name and team size. We also keep the time zone your browser reports, so that your day, midnight and daily emails follow your own clock. Passwords are stored only as a one-way hash, never as the password itself. If you sign in with Google, we receive your name, email address, Google account identifier and profile photo.
Attendance. At each check-in and check-out, and only then:
- the time, and your time zone;
- your device's GPS location, read once at that moment. TeamPulse does not track your location between or outside check-ins. If the location is not available or you do not allow it, you can check in without it, and the record is marked “No location”;
- the street address found from that location;
- a selfie taken with the live camera. Without a camera, you can check in without one, and the record is marked “No photo”.
A check-in still open at midnight is checked out automatically at midnight, and the record says so. When a manager corrects that check-out, the record also keeps who corrected it, when, and the reason they gave.
Work records. Tasks (titles, dates, hours and categories), the photos and PDFs attached as evidence, challenges and how they were resolved, your workspace's department and field lists, and profile photos.
Billing. For each workspace: its trial and paid-up dates, and each payment's amount, date, receipt number and Razorpay order and payment identifiers. We also keep the payment record Razorpay returns, which can include the method used, the bank or UPI ID, a card's network and last four digits, and the email address and phone number entered at checkout. We never receive full card numbers, CVVs, UPI PINs or banking passwords.
Support. The tickets and messages you send from Help & Support, with your name, email address, role and workspace name. Messages sent through our public contact form (name, email address and message) are emailed to our support inbox; they are not stored in TeamPulse.
Technical information. For each signed-in session: your IP address, your browser, and when the session started and was last used. IP addresses are also used, in memory only, to limit repeated attempts at signing in and sending messages.
How we use it
- To provide TeamPulse: signing you in, showing each person the records they may see, building reports, the evening digest and billing reminders.
- To email you about the service: your temporary password, password reset links, invitations, receipts, billing reminders, the digest and replies to your support requests.
- To take payments: confirming each one with Razorpay, preventing double charges, issuing receipts and keeping financial records.
- To keep TeamPulse secure: managing sessions, limiting repeated attempts, and investigating problems and misuse.
- To meet legal obligations, such as tax and accounting records.
We do not sell personal data, and we do not use it for advertising.
Who can see it
Inside your workspace. A founder sees the whole company, a project manager their own department, and a team member their own records. Nobody outside the workspace can open its records, however a link or request is made.
Support tickets are seen by the person who raised them and our support team, not by their founder or colleagues.
Edgeaxis Technologies LLP. TeamPulse gives our team no screen that shows your workspace's records. Our admin console shows usage counts (for example, how many check-ins and active people), each founder's name and email address as our customer, and billing status. Our engineers who run the servers and database can technically reach stored data. They access it only when needed to run, secure, back up or repair the service, or when the law requires it.
Service providers who process data for us, only to do their part:
- Razorpay, for payments;
- our hosting provider, for the servers, database and stored files;
- our email provider, to deliver emails;
- OpenStreetMap: our server sends it a check-in's coordinates to find the street address, and the attendance map loads map images from it in your browser;
- Google, if you sign in with Google. Your browser also loads TeamPulse's fonts from Google Fonts, which sends Google your IP address;
When the law requires it. We disclose information to authorities when required by law or a court order. If our business is merged or sold, the information would pass on under this policy's protections, and we would tell you.
How we protect it
- Everything between your browser and TeamPulse is encrypted with HTTPS.
- Passwords are stored only as one-way hashes.
- Sessions are kept on our server: signing out ends a session at once, and changing your password signs out your other devices.
- Every request is checked against your workspace and role. Another company's record is treated as not found.
- Photos and files are served only to the people allowed to see the record they belong to.
- Payments are confirmed with Razorpay's signatures before any access is given.
- We review the code for security after major changes.
No system is perfectly secure. If a breach affects your personal data, we will tell the people affected and the Data Protection Board of India, as the DPDP Act requires.
Where it is processed
Your data is stored on servers run for us by our hosting provider. Some of the service providers listed above may process data outside India. We transfer data only as the DPDP Act allows.
How long we keep it
- Workspace records are kept while the workspace exists. When a trial or subscription ends, they stay, read-only, so you can come back or export them. Nothing is deleted automatically.
- Deleting a workspace. A founder can ask us to delete the workspace. We delete its accounts, records, photos and files within 30 days of confirming the request.
- Payment records are kept for as long as Indian tax and accounting law requires, even after a workspace is deleted.
- Support tickets and sign-in session records are kept with the account, and deleted with it.
- Copies held in backups are removed as the backups are replaced.
Your rights
Under the DPDP Act you can:
- access a summary of your personal data, how it is processed and whom it is shared with;
- correct or update it. You can edit your own profile; your founder can change your role, department and target;
- have it erased when it is no longer needed, unless the law requires us to keep it;
- withdraw consent where we rely on it. This may mean you can no longer use TeamPulse;
- nominate someone to use these rights for you if you die or cannot act yourself;
- have a complaint heard by our Grievance Officer, and then by the Data Protection Board of India.
To use any of these, write to the Grievance Officer below. We may need to confirm who you are. We reply within 30 days. If a request concerns a workspace's records, we will work with that company, which decides about them.
Children
TeamPulse is not meant for anyone under 18. We do not knowingly collect children's data, and founders must not invite anyone under 18.
Changes to this policy
We will post any change on this page with a new date, and email founders about important changes before they take effect.
